Ensuring Technical Readiness: Copilot’s integration into their Microsoft 365 environment had to be seamless to maximize user experience and minimize technical hurdles.
The Solution
Our Approach to Implementing Microsoft 365 Copilot
We crafted a custom, comprehensive solution to meet the client’s unique needs and goals. Here is how we made it happen:

The Outcome
With Microsoft Copilot, our pilot participants cut recap time by 83%—from 30 minutes to just 5.

1. Increased Adoption
Copilot usage grew steadily throughout the pilot, and has reached 92% utilization.
In the first 3 months, team meeting agendas and follow-ups were automated with Copilot over 3,760 times.
Generate clear, concise summaries of complex discussions.
Draft and refine reports and emails faster.
2. Significant Productivity Gains
On top of adoption, productivity and time-savings were key in this pilot. We recorded the following usage stats:
Time Savings: On average, Copilot users said post-meeting recaps are done in 5 minutes rather than 30. The time to summarize meeting minutes is 3.8x faster with Copilot.
Higher Task Quality: Automated workflows and AI assistance improved the accuracy of documents. Fewer revisions meant faster project turnaround times, allowing teams to deliver high-quality work with greater efficiency.
3. Enhanced Employee Satisfaction
Through survey feedback, we received a number of positive insights:

5. Challenges and Learnings
While the pilot was a success, we did encounter some challenges:

This highlighted the need for consistent communication and updates to the pilot participants. By addressing these challenges proactively, we ensured the pilot program stayed on track and delivered measurable success.
6. Next Steps
We developed a multi-stage roll-out plan to scale Copilot adoption across the organization. This phased approach included:
Expanding the Pilot Program: Identifying additional teams and roles that could benefit most from Copilot.
Implementing a Copilot Backlog: Rolling out a plan for additional Copilot features as the organization matured in its usage.
Long-Term Training Programs: Creating ongoing training initiatives to keep employees informed about updates and best practices.
